Job Description
Description We are seeking an Executive Assistant for an exciting contract-to-permanent employment opportunity in Los Altos, California. The role involves assisting in the commercial real estate industry, where you will utilize your skills in ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and the Kronos Timekeeping System. You will be responsible for managing multiple executives' schedules, organizing conference calls, and providing exceptional customer service.
Responsibilities:
- Facilitate communication and correspondence between various executives and clients
- Handle the scheduling and calendar management for multiple executives to ensure smooth operations
- Utilize the ADP - Financial Services system to manage financial tasks related to commercial real estate
- Use the Cisco Webex Meetings platform to organize and manage virtual meetings and conferences
- Handle the Concur system for efficient expense management
- Employ CRM to maintain accurate client records and optimize customer interactions
- Operate the Kronos Timekeeping System to manage and track employee time and attendance
- Provide exceptional customer service, addressing and resolving customer inquiries in a timely manner
- Coordinate conference calls, ensuring all participants are adequately prepared and informed
- Manage and monitor customer accounts, taking appropriate actions when necessary. Requirements - Applicant must possess at least 3 years of experience working as an Executive Assistant.
- Proficiency in ADP - Financial Services is required.
- Must be comfortable with using Cisco Webex Meetings.
- Familiarity with Concur is a must.
- Experience with CRM systems is necessary.
- Knowledge of Kronos Timekeeping System is required.
- Should be skilled in using About Time software.
- Calendar Management experience is essential.
- Excellent Communication skills are required.
- Must be adept at handling Conference Calls.
- Ability to manage Correspondence effectively is necessary.
- Excellent Customer Service skills are required.
- Experience in supporting Multiple Executives is necessary.
