Position Summary

The Medical Assistant – Back Office is responsible for supporting physicians and nursing personnel in delivering high-quality patient care. This role includes both clinical and administrative responsibilities such as assisting with patient procedures, maintaining treatment rooms, verifying insurance, scheduling, and providing exceptional customer service in a dermatology office setting.

Key Responsibilities

Clinical Duties

  • Assist providers with patient care procedures and clinical tasks.
  • Escort patients to exam rooms and prepare them according to clinical standards.
  • Record patient information, vitals, and documentation accurately and promptly into EMR.
  • Maintain exam and treatment rooms: clean, stock, and sterilize instruments and supplies.
  • Coordinate patient care following physician direction and company policies.
  • Process medical documentation in an organized, accurate, and timely manner.
  • Maintain strict patient confidentiality in accordance with HIPAA regulations.
  • Respond calmly and appropriately in emergency situations.
  • Ensure treatment information is accessible by organizing patient records.

Administrative Duties

  • Schedule patient appointments in person and by telephone.
  • Keep patient appointments on track by notifying providers of arrivals or delays.
  • Verify insurance benefits, obtain pre-certifications, and process authorizations as needed.
  • Maintain accurate scheduling and patient records across multiple systems.
  • Answer phones, triage calls, and assist patients with questions or concerns.
  • Ensure all front and back-office tasks are completed with a high level of organization and attention to detail.
  • File, scan, and retrieve patient documents as necessary.
  • Travel to alternate sites or for training as required.

Skills & Qualifications

  • 1+ year of experience in a dermatology office with back office duties (preferred but not required).
  • 3+ years of experience as a Medical Assistant in any medical specialty.
  • Strong knowledge of medical terminology and patient care procedures.
  • Experience verifying insurance, processing authorizations, and scheduling.
  • Effective verbal and written communication skills.
  • Excellent customer service, organizational, and multitasking abilities.
  • EMR experience required; surgical environment experience is a plus.
  • Must be computer literate and self-motivated with the ability to manage solo tasks and projects.
  • Friendly and professional demeanor both in person and on the phone.
  • Ability to maintain confidentiality and professionalism at all times.
  • Bilingual skills are a plus.
